General Client Onboarding Process

3 min read
Key Takeaway: NBS adheres to a strict 6-step onboarding protocol. Work begins only after the initial milestone payment is verified and required onboarding assets are provided by the client.

NBS follows a structured onboarding process to ensure that the Client and NBS have a clear understanding of the project scope, requirements, responsibilities, timelines, and payment milestones before work begins.

1

Initial Consultation

The Client initially communicates with the NBS Sales Team to discuss the nature of the business, objectives, services/products, current digital presence, and expected outcomes.

2

Manager / Project Discussion

The Client is connected with the relevant NBS Project Manager for a detailed technical discussion regarding business requirements, technical needs, and strategic approach.

3

Scope of Work & Proposal

Based on discussions, NBS provides a comprehensive written proposal detailing deliverables, timelines, pricing, milestone payment schedules, and service terms.

4

Proposal Approval & First Milestone

The Client reviews and approves the proposal, making the First Milestone / Sign-Up Payment specified before work officially begins.

5

Onboarding & Information Gathering

NBS initiates formal onboarding. The Client provides business details, logos, brand guides, images, content, credentials, and access to relevant tools/platforms.

6

Project Kick-Off

Work begins in accordance with the approved proposal, agreed milestones, and delivery process.

Client Communication Policy & WhatsApp Group Rules

3 min read
Key Takeaway: WhatsApp groups are strictly for fast updates and coordination. Formal approvals, scope revisions, and milestone sign-offs must always be submitted via email or official ticketing channels.

Efficient communication is vital to project success. NBS establishes dedicated channels to ensure seamless collaboration while maintaining clear documentation.

By Prior Appointment

WhatsApp Group Rules & Professional Standards

  • Designated Group: Communication occurs strictly inside the official client group. Team members should not be messaged privately.
  • Operating Hours: Messages sent outside official working hours (Mon–Fri) will be addressed on the next business morning.
  • Record-Keeping: In the event of conflicting verbal or casual WhatsApp chat instructions, formal written email records take precedence.

Website Design & Development Process (Milestones)

4 min read
Key Takeaway: Web design projects advance through sequential milestone gates. Approval of one phase locks that stage so subsequent engineering can proceed without contradictory redesigns.

NBS executes web design and development projects using a rigorous 5-stage milestone architecture. Work on any subsequent phase requires completion and sign-off on the previous milestone.

01
Phase 1: Discovery, Sitemap & Wireframes Milestone 1 (Deposit)

Gathering functional requirements, structuring navigation hierarchy, creating structural wireframes, and defining technical specifications.

02
Phase 2: UI/UX Concept & Design Approval Design Sign-Off Gate

Developing bespoke high-fidelity prototypes in Figma/Adobe XD. Covers branding, typography, color styling, and mobile responsive layout layouts.

03
Phase 3: Development & Coding (Staging) Milestone 2 (Progress)

Translating approved visuals into functional code, CMS integration, custom features, responsive testing, and speed optimization on private staging servers.

04
Phase 4: Content Population & QA Testing Quality Audit

Uploading client content, media, products, performing cross-browser audits, security tests, and broken link scans.

05
Phase 5: Final Review & Live Deployment Milestone 3 (Final 100%)

Final review, balance payment clearance, domain DNS pointer migration, SSL activation, live launch, and administrative credentials handover.

04
Core Engagement

Project Timeline & Client Cooperation

2 min read
Key Takeaway: Project delivery dates are contingent upon timely client feedback, assets, and approvals. Delays in client feedback automatically extend final delivery schedules.

Project timelines stated in proposals are good-faith estimates calculated based on normal turnaround cycles and mutual cooperation.

  • Asset Submission: Content, credentials, brand guidelines, and high-res media must be provided within the designated onboarding window.
  • Feedback SLA: The Client agrees to provide consolidated revision feedback within 3–5 business days of deliverable submission.
  • Schedule Adjustments: Unresponsive periods or delayed feedback will adjust delivery dates by an equivalent time window.

Web Dev & Tech

Changes in Scope & Additional Work

2 min read
Key Takeaway: Proposals include up to 2 rounds of design revisions. Requests exceeding original scope require a written Change Order or addendum quote.

The scope of work is strictly bounded by items explicitly detailed in the approved proposal.

Included In Original Scope
  • Deliverables specified in approved proposal
  • Up to 2 iterative review rounds per design phase
  • Staging bug-fixes during QA test window
  • Core responsive compatibility checks
Treated as Additional Scope (Paid)
  • New pages or modules requested post-approval
  • Substantial architecture or layout restructuring
  • Third-party API integrations not in original SOW
  • Custom code modifications outside agreed spec

Website Hosting, Domain & Maintenance Responsibilities

2 min read
Key Takeaway: Hosting and domain accounts remain the Client's property and financial responsibility unless an active monthly NBS care plan is retained.

Unless expressly bundled as a recurring managed service:

  • Ownership: Domain names, external hosting accounts, and DNS records are owned directly by the Client.
  • Server Downtime: NBS is not liable for outages, server crashes, or bandwidth throttling caused by third-party hosting companies.
  • Post-Launch Warranty: NBS provides a standard 14-day post-launch bug warranty covering initial defects. Subsequent plugin updates, core updates, or security patches require an active Maintenance Agreement.

Search Engine Optimization (SEO) Services

3 min read
Key Takeaway: SEO is a long-term strategic initiative. NBS implements white-hat best practices, but cannot guarantee specific position #1 rankings due to Google algorithmic volatility.

NBS applies industry-recognized white-hat on-page, technical, and off-page optimization strategies.

Search Engine Governance: Google and major search engines continually update search ranking algorithms. Organic SEO typically requires a sustained 3 to 6-month indexing and ranking gestation period before significant organic traffic increases materialize.
08
Marketing & Ads

Social Media Management Services

2 min read
Key Takeaway: Content calendars must be approved ahead of scheduled distribution. The client provides raw product photos, footage, and company news.

Social media execution includes content planning, copy drafting, creative asset design, and scheduled distribution.

  • Approval Cycles: Monthly content calendars are provided for Client review prior to publishing.
  • Media Submissions: High-quality raw photography, brand videos, and company announcements should be shared ahead of time.
  • Community Engagement: Public comment and customer inquiry response parameters will follow pre-agreed escalation guidelines.
09
Marketing & Ads

Paid Advertising Services (Google Ads, Meta Ads)

3 min read
Key Takeaway: Media spend is paid directly by the client to Google or Meta. NBS management fees are completely separate from advertising platform budget.

Paid performance marketing is managed under strict fiduciary standards.

Marketing & Ads

Google Business Profile (GBP) Management

2 min read
Key Takeaway: NBS optimizes listings and local citations. Google verification postcards or video audits require physical client participation.

Google Business Profile services optimize local map visibility, reviews, service categories, and regular post updates. The Client remains the primary owner and is responsible for physical postcard or video verification if requested by Google.

11
Marketing & Ads

Reporting & Performance Updates

2 min read
Key Takeaway: Clients with active digital marketing retainers receive comprehensive monthly analytics reports covering KPIs, conversions, and forward roadmaps.

For monthly marketing and management accounts, NBS provides transparent performance reports covering key metrics including impressions, clicks, conversions, acquisition costs, and strategic optimizations.

12
Invoicing & Refunds

Invoicing, Payment Terms & Schedules

3 min read
Key Takeaway: Invoices are payable upon receipt or within 7 calendar days. Digital assets and full administrative credentials are only handed over upon 100% financial settlement.

NBS works on predetermined milestone frameworks or upfront monthly recurring retainers.

  • Payment Methods: Official bank wire, corporate transfer, or accredited payment gateways specified on the invoice.
  • Due Dates: Unless explicitly written in the proposal, payment is due upon issuance.
  • Asset Release Gate: Final code files, root access, live migration, and copyright transfer take effect strictly after receipt of the final balance.
13
Invoicing & Refunds

Outstanding Payments, Delays & Service Suspension

2 min read
Key Takeaway: Invoices overdue by more than 7 days trigger a 5% late fee penalty; accounts overdue by 14 days face immediate service suspension.

To preserve operational integrity and maintain team allocation, strict delinquent account procedures apply:

Suspension Timeline: Accounts with payments unsettled after 14 calendar days are subject to immediate pause of active campaigns, development hold, and server staging access lock until balance is rectified in full.
14
Invoicing & Refunds

Client Responsibilities

2 min read
Key Takeaway: The client warrants full legal ownership and copyright clearance for all text, imagery, trademarks, and media supplied to NBS.

The Client is solely responsible for:

  • Providing accurate text content, photos, logos, and licensing permissions.
  • Ensuring that materials provided do not infringe third-party trademarks or copyrights.
  • Safeguarding login credentials and master account ownership.
15
Invoicing & Refunds

Approvals, Revisions & Final Sign-Off

2 min read
Key Takeaway: Deliverables submitted for client review are deemed automatically accepted if no written feedback or revision requests are received within 7 business days.

Feedback must be consolidated and clear. Once a phase milestone is formally or passively approved, work on that phase is concluded and locked.

16
Legal & Governance

Third-Party Platforms, Tools & Software

2 min read

NBS utilizes third-party tools, CMS systems, themes, and plugins (e.g., WordPress, Shopify, Elementor, Stripe). The Client is responsible for recurring license renewals and adherence to those platforms' end-user terms.

No Guarantee of Specific Business Results

2 min read

While NBS applies high-level technical expertise, marketing science, and data-driven methods, digital performance is influenced by market competition, consumer demand, economic shifts, and platform algorithms. NBS does not guarantee specific revenue, sales volume, or guaranteed financial returns.

19
Legal & Governance

Client Delays, Pauses & Project Abandonment

2 min read
Key Takeaway: If a project is paused or the client becomes unresponsive for more than 30 consecutive calendar days, the project is marked Dormant and a reactivation fee will apply.

Projects dormant for more than 60 calendar days without written authorization will be deemed concluded and closed. Reactivation after 60 days requires a new proposal and scope assessment based on current team availability.

20
Legal & Governance

Cancellation, Termination & Refunds

3 min read
Key Takeaway: Deposits and completed milestone payments are non-refundable as they directly compensate committed agency production hours and engineering time.
Initial Deposits & Completed Milestones
